Build one source of truth

Keep the client brief, project owner, milestones, files, feedback, approvals and payment record attached to the same project. When the record is complete, the team spends less time reconstructing decisions from separate conversations.

Define the delivery workflow

Use clear stages for intake, assignment, production, review, revision, approval and completion. Give every stage an owner and a completion rule.

  • Capture a complete brief before production
  • Assign one accountable owner
  • Record approvals beside each milestone
  • Close the project only after delivery and payment records are reconciled

Review capacity and cash every week

Review active projects, overdue delivery, team workload, verified collections, unpaid invoices and recorded expenses together. The purpose is to identify operational risk early, not to create reporting work.

Give clients a focused portal

Clients need project progress, files, approvals, revisions, invoices and payment status. Keep internal expenses, private discussions and freelancer payout details inside the agency workspace.
